The Póg Mo Thórin Club Constitution
1. Name of the Club
The club shall be known as The Póg Mo Thórin Club.
2. Purpose
The Póg Mo Thórin Club aims to maintain and strengthen the social bonds among members who lost their meeting place with the closure of the Royal Oak pub. The club provides a space for playing darts, pool, chess, backgammon, and poker, as well as organizing trips like those to Las Vegas and Nottingham. The primary goal is to keep this group of friends united without depending on pubs.
3. Membership
1. Eligibility
Membership is open to anyone recommended by an existing member, subject to a probationary period and approval by current members. Members must be above the age of 18 years, and identification may be required.
2. Membership Fees
Members are required to pay monthly fees to contribute towards the rental of any facilities used by the club and any staff reimbursements. If fees are not paid after three months, membership will be suspended pending a review by the board.
3. Joining Process
Prospective members must be recommended by an existing member. Once a recommendation is made, an email confirmation is sent, and acceptance is decided by existing members or the chairperson.
4. Activity Participation
Certain activities, such as poker, require new members to have completed a four-day membership period before taking part.
4. Management
1. Committee Roles
The Póg Mo Thórin Club will be managed by a committee consisting of a Chairperson, Treasurer, and Secretary.
2. Elections
Elections for committee roles will be held once per year, with flexibility to adjust by plus or minus one month to allow time for organization.
3. Decision-Making
During the year, all decisions will be made by the committee. However, certain decisions may be opened for a general vote by the members.
5. Meetings
1. Regular Meetings
The club will hold regular member meetings quarterly to discuss any ongoing issues, events, or member concerns.
2. Annual General Meeting (AGM)
An Annual General Meeting will be held once per year, with flexibility to adjust by plus or minus one month to allow for organization. The AGM will cover topics such as financial reviews, committee elections, overall direction for the club, and proposed activities for the upcoming year.
6. Finances
1. Fund Management
Club funds will be managed by the Treasurer and used to cover rent, maintenance, club events, etc.
2. Financial Reporting
Financial reports will be made available on request to the Chairperson and Secretary. Full accounts will be presented to all members during the Annual General Meeting.
7. Activities
1. Club Activities
The club will support activities such as darts, pool, chess, backgammon, poker, and pool. Additional activities may be introduced once the club is fully operational.
2. Activity Rules
Members are prohibited from participating in activities, such as darts or poker, or any equal chance gambling if they are or appear to be intoxicated beyond the ability to make reasonable decisions.
8. Code of Conduct
1. Expected Behavior
Members are expected to act in a respectful and friendly manner towards others at all times. All members must comply with legal requirements for behavior within group settings, which includes avoiding discriminatory, harassing, or otherwise inappropriate conduct. This includes behavior in the local area outside of the club venue and while traveling to and from the club venue.
2. Dispute Resolution
In the event of a dispute between members, both members must leave the venue for a cooling-off period. They may only return after a minimum of 24 hours, provided they have both agreed to abide by acceptable behavior standards moving forward.
9. Changes to the Constitution
1. Initial Changes
Initially, any changes to the constitution may be made at any time by the committee until agreed upon by members at the first AGM.
2. Established Procedure
Once the club is established, proposed changes to the constitution must first be brought up at a quarterly meeting. Any amendments will then be voted on at the next regular meeting or Annual General Meeting, unless the change is deemed urgent or essential for the proper running of the club, including legal or health and safety implications.
10. Dissolution
In the event that the club is dissolved, any remaining funds will be donated to a charity selected by the committee.
